The Role
We are looking for an experienced Personal Assistant to provide pivotal administrative support to a Senior Leadership Team, Directors, Assistant Directors.
The successful candidate with be office based and will be highly skilled at managing priorities and thinking on their feet. They will be expected to provide effective and efficient high-level executive support, including prioritisation of work, diary management, meetings management, and communication, document production, quality assurance and governance. Ensuring all aspects of the administration, planning and coordination of work streams are managed effectively and efficiently.
Primary Responsibilities:
- Act as the first point of contact for Director and Assistant Directors (where required) and maintain the effective working of their offices in their absence.
- Maintain the highest level of confidentiality and adherence to policies and procedures.
- Manage diaries by scheduling, prioritising and managing appointments, travel arrangements and papers for meetings.
- Managing correspondence, track incoming and outgoing correspondence and ensure replies are produced within the required timeframe.
- Read and prioritise incoming email correspondence and prepare draft responses as appropriate. Ensure that cyclical and management deadlines for reports, reviews, budgets are met.
- Maintain effective communication and working relationships with key partners and stakeholders at an operational level, the organisation’s senior management team and key internal and external stakeholders.
- Provide advice and support to stakeholders.
- Undertake research and other activities as required.
- Attend specific meetings and take notes, draft minutes and action recommendations as required.
- Ability to use Microsoft 365 applications to manage communication, documentation, scheduling, and collaboration.
About You
This position will suit a team player who is happy to be flexible to the needs of the team and the business, with a ‘can-do’ attitude. As part of group of support staff, you will work closely and in tune with other PAs, providing support for them during busy periods, absence or leave.
The successful candidate will have a customer service mindset, excellent technical skills and the ability to keep up to date with current and emerging technology. Will also will need to demonstrate experience of providing exceptional administrative support and be required to work on your own initiative whilst being dedicated and working in a fast paced, highly professional and confidential manner.
This position is primarily officebased but offers the flexibility to work from home in line with business requirements.
