An opportunity has arisen for a Training Assistant to join our Catering Leeds and Fleet Services team based at Leeds City Council’s York Road Depot (Leeds 9).
As Training Assistant your role will provide the services with comprehensive administration to support the needs of our training team.
Fleet Services are responsible for the management and maintenance of the corporate vehicle fleet and a range of training requirements for drivers of the corporate vehicle fleet. Catering Leeds are responsible for catering within schools, children centres and adult care settings. Based at Torre Road Depot (Leeds 9), this role will join our small but busy team to support the whole authority.

The post holder will provide routine administrative support such as responding to internal and external queries in relation to driver training, assisting with bookings and orders, and tracking progress and scheduling. In addition, the post holder will assist with the training administration for Catering Leeds staff, in terms of recording and monitoring completion of training. The role also assists with managing training waiting lists, working with the Business Support Centre Training Team to formally record training, tracking feedback from sessions and reporting on training which needs to be undertaken.
Being professional, friendly, organised and with an eye for detail are essential to be successful in this role.

About the role
This key role is integral to ensuring the Leeds City Council workforce is trained in line with our agreed approaches to protect drivers, service users and residents. This post will play a part in ensuring that all training processes are undertaken to keep Catering and Fleet Services running smoothly in relation to training that has taken part and planned activities.

Job Description

Job Purpose: The post holder will be required to provide support, assistance and administration to the Catering and Fleet Services training tea
Responsibilities for Grade:

  • To provide administrative duties including the processing of paperwork and records in line with the agreed process for training programmes within the service.
  • To chase outstanding training and recruitment paperwork for individual sites, sessions and people, in line with the agreed timetable.
  • Assist in the development of/ and maintain the training booking and trainer allocation system to effectively manage requests for training and co-ordinate the paperwork and processes numbers and confirmation letters with the relevant staff concerned
  • To manage waiting lists for training and feed this into the training planning process with managers, when planning the annual training programme for the service.
  • To update and effectively manage the training matrix, identifying any areas of concern and ensuring records are accurate and also updated on PAL and other local record systems for all relevant staff.
  • To manage training diaries in line with the requirements of Catering Leeds and Fleet Services.
  • To work closely with relevant managers to agree joined up processes to effectively manage the administration of all matters in relation to training, recruitment and development in line with corporate policies and manage journey of individual staff in relation to this.
  • To ensure good lines of communication are in place across the service in relation to response and message taking in relation to all areas managed by the team in line with KPI’s.
  • To provide reports and updates on a range of areas as specified by relevant managers including undertaking all required accreditations and legal notification requirements relating to training.
  • Explaining all related matters and/or to provide basic training to other staff, using well developed communication skills to undertake this clearly and understandably.
  • Ensure all finance procedures and systems are compliant in relation to training related payment and costs to meet the requirements of the service.
  • Work flexibly within the team and by providing cover across other teams as required
  • Become a Quality, Environmental and Health & Safety Auditor and undertake audits as requested.
  • Be aware of and comply with Leeds City Council policies and procedures e.g. child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person

  • Have a sound working knowledge of standard IT applications used in an office environment
  • Experience of providing administrative support to a busy team
  • Experience of inputting data to computerised and manual systems to a high standard ensuring accuracy of work
  • Experience of collating information to provide accurate reports in a timely manner
  • Experience of using Word and Excel e.g. to produce letters and data spreadsheets/reports
  • Experience of working to diverse/tight deadlines
  • General knowledge and understanding of the councils training system
