As Coordinator you will support the health, safety and quality officer, ensuring both services maintain its ISO quality and health and safety accreditations. You will manage and monitor the audit schedule and compile audit bundles for auditors. You will input all relevant health, safety and quality data and monitor trends. You will compile data and packs for reports and meetings.  You will be supportive and ambitious with excellent organisational skills. You will be a confident communicator with a can-do approach.

About the role

Catering Leeds is responsible for preparing and serving meals to school children and children and adults in social care settings. Catering Leeds appoint approximately 840 frontline employees who work over 140 locations and serve over 5 million meals a year.

Fleet Services is responsible for the repair and maintenance of approximately 1400 vehicles. The service employs 70 members of staff. The service also deliver breakdown and private MOT services. Fleet Services carries out over 10 thousand jobs per year.

The successful candidate will be expected to carry out effective planning, scheduling and monitoring of all audits, as per the services’ ISO accreditations. You will be responsible for  recording and monitoring risk assessments, training, inspections and much more. You will be required to collate and report on all aspects of health, safety, wellbeing and quality. Based at Torre Road Depot (Leeds 9), the successful candidate will join this small but busy team to support both the catering and fleet services. The post holder must work flexibly and be able to prioritise workloads at short notice to meet the ongoing needs and challenges of the services.

    Job Purpose:

    To provide support to both Catering Leeds and Fleet Services in relation to all quality, health, safety and process matters.                

    Responsibilities:      

    • To maintain the quality assurance and health and safety systems, manuals, and documentation in conjunction with the Health, safety and quality officer.
    • To organise, plan and schedule quality and health and safety audits in all areas of both businesses including the development of the paperwork for completion including audit scope.
    • To work with individual auditors, providing advice and guidance in advance of audits and clear feedback following audits to ensure audits are robust and effective and auditors demonstrate continuous improvement to consistently strengthen the process and overall performance.
    • To organise and progress quality surveillance, including planning and implementing close out plans.
    • To progress quality NCR’s and observations following audits and surveillance.
    • To support and assist in the development of health and safety plans and implementation of health and safety updates and revisions including the electronic maintenance of procedures, and control of issue within the parameters of the annual print budget.
    • To carry out and process all relevant paperwork and supporting documentation in relation to accident/incident and Hazard (HZ1) investigations and close outs
    • To report on Health and Safety and Environmental Health report actions and closure of recommendations in the safest and most cost-effective method.
    • To work with relevant business leads in each service to develop toolbox talks regarding Health and Safety and QA systems.
    • To maintain electronic records of site visits, inspections and other records and report on progress in these areas for key meetings.
    • To follow up specific complaints and satisfaction reports.
    • To contribute to maintaining and developing the standards in operation across both services as they apply e.g., 14001 accreditations.
    • To provide quality 1:1 meetings, appraisals, training, and support for line managed staff such as computer systems, internal procedures, risk assessments and legal requirements and the use of corporate employment policies such as Improving Performance, Improving Attendance, Disciplinary and Grievance to ensure staff maintain and improve in standards or performance.  
    • To be a Quality, Environmental and Health & Safety auditor and undertake audits as requested and in line with the services schedule to support continuous compliance and service development.  
    • To attend meetings and take minutes as required.
    • To produce monthly summaries, analysis and reports including key performance information linked to health, safety and quality as requested and in accordance with operational requirements.
    • To assist in the implementation of the service plan as deemed necessary.
    • To participate in appraisal, training and development activities as necessary to ensure up to date knowledge and skills.
    • To work collaboratively with colleagues, knowing when to seek help and advice.
    • Contribute to the overall ethos, work, and aims of the service by attending relevant meetings, training days/events as requested.
    • Be aware of and comply with Leeds City Council policies and procedures e.g., child protection, health, safety and security, confidentiality, and data protection, reporting all concerns to an appropriate person
