We are looking for an enthusiastic, organised and customer-focused Events Co-ordinator to join the team at Bourne Hall. This is a varied, hands-on role where no two days are the same. You will help customers bring their events to life, from their first venue tour and initial enquiry through to the successful delivery of their event. You will build strong relationships with existing and prospective hirers, promote the venue’s rooms, catering, cafe and bar services, and help maximise venue hire income. You will also help ensure that everyone visiting Bourne Hall receives a welcoming, professional and consistently high standard of service. What you will be doing • Act as a key point of contact for customers throughout the planning and delivery of their events. • Conduct venue tours and provide prospective hirers with accurate and helpful information. • Promote the venue and its wider services, including room hire, catering, cafe and bar facilities. • Manage bookings and customer requirements using the Artifax booking system. • Ensure event details, booking records and handover information are accurate and clearly communicated. • Manage and support Events Assistants and casual staff, allocating day-to-day tasks and helping to identify their training and development needs. • Ensure appropriate staffing arrangements are in place for events and regular bookings. • Plan and oversee room set-ups, furniture, equipment, audiovisual requirements and meeting refreshments. • Completing room set ups and Manual handling tasks • Support the smooth day-to-day operation of the cafe and provide reception or coffee shop cover when required. • Maintain high standards of presentation, cleanliness, safety and security throughout the venue. • Complete health and safety checks, report maintenance issues and liaise with contractors attending the site. • Manage and work on the Bar during events when required. • Provide first aid cover and undertake Fire Marshal responsibilities during an evacuation. • Support the opening and closing of the building and liaise with the police or emergency services when necessary. • Contribute ideas and support wider venue projects and service improvements. About you You will have: • Previous customer service experience. • Experience of delivering events. • Good written and verbal communication skills. • Strong planning and organisational skills. • The ability to solve problems and use your initiative. • The ability to remain calm, prioritise tasks and work effectively under pressure. • The confidence to motivate, support and help develop members of the team. • An understanding of health and safety requirements in a public venue. • The flexibility to work evenings and weekends as required. • Take a hands on apporach in helping to set up events and equipment. A Level 2 Food Hygiene qualification and a Personal Licence would be helpful, although these are desirable rather than essential requirements. Why join us?
