Ealing Council has an exciting opportunity for a Reception/ Business Support Officer to join our welcoming team at the Ealing Education Centre, based in Greenford, UB6. This is an excellent opportunity for a customer-focused and organised individual to play a key role in the day-to-day running of a thriving education and training centre.
This is a permanent, part-time role of 21 hours per week, Tuesday, Wednesday and Thursday working on a term-time only basis, plus an additional two weeks during school holiday periods. Due to the nature of the role this is a fully office base role. It offers an excellent work-life balance while providing the opportunity to be part of a friendly and supportive team.
As the first point of contact for visitors, delegates, trainers and staff, you will play a vital role in creating a professional, welcoming and efficient environment. You will provide front-of-house reception services alongside a wide range of administrative and business support activities that help ensure the smooth operation of the Centre.
Key Responsibilities:
The Reception/ Business Support Officer is responsible for delivering exceptional customer service and administrative support, ensuring the smooth day-to-day operation of the Ealing Education Centre. The role combines front-of-house reception duties, event and training administration, customer support, financial processing and business support, helping to create a professional, welcoming and efficient environment for all centre users.
•Provide a professional, friendly and welcoming reception service for visitors, delegates and staff.
•Manage telephone, email and face-to-face enquiries, ensuring excellent customer service at all times.
•Support the administration of training courses, events and room bookings across a range of systems and digital platforms. Prepare training rooms and assist with the smooth delivery of events and conferences.
•Maintain accurate records, databases and filing systems.
•Provide administrative support, including producing documents, reports and correspondence.
•Assist with financial administration, including purchase orders, invoices and other related processes.
•Support colleagues, trainers and customers with venue, booking and system-related enquiries.
•Ensure reception and communal areas remain organised, presentable and well stocked.
•Work collaboratively with colleagues to support the daily operation of the Ealing Education Centre.
Our ideal Reception/ Business Support Officer will have the below skills and experience:
•Experience working in a busy administrative, office or customer-facing environment.
•Strong customer service and communication skills.
•Good organisational skills and the ability to manage competing priorities.
•Experience using Microsoft Office applications, including Outlook, Word and Excel.
•The ability to work effectively both independently and as part of a team.
•A positive, flexible and professional approach to work.
•A good standard of education, including GCSE English and Maths (or equivalent).
•Experience using a range of digital systems and platforms to manage information, bookings, records and administrative processes.
Essential skills and qualifications:
•A good standard of general education, including GCSE English and Maths (or equivalent), with strong written and verbal communication skills.
•Good ICT skills, including experience of Microsoft Office applications and confidence using a range of digital systems and online platforms to manage administrative tasks, bookings, records and communications.
