We are looking for a dedicated Receptionist to join our Homes and Assets Service. In this role, you will provide comprehensive reception and administrative support to the Corporate Landlord Service, ensuring a positive image of the Council. You will act as a central point of contact for the council's main corporate reception delivering exceptional front of house services to staff, visitors, and dignitaries and act as the main point of contact for building users including helpdesk inquiries related to repairs, maintenance, and facilities.

Special requirements for this post

In this role, you will deliver a comprehensive reception and administrative support service acting as a key point of contact for staff, visitors and external partners. Core responsibilities include managing the Council’s room booking system, maintaining accurate manual and electronic filing systems, and operating office equipment such as MFDs. You will oversee stock and inventory control, ensuring supplies are monitored and ordered as needed, and you will oversee financial transactions including handling invoicing. Providing a professional response to incoming call and supporting front of house duties will also be central to this role. In addition you will conduct customer satisfaction surveys, contribute to the development of improved administrative processes, and co-ordinate facility related issues, including building maintenance requests. This includes co-ordinating help desk functions, and raising maintenance orders with contractors, and keeping detail and maintenance records. The role also involves welcoming and assisting visitors, issuing visitor identification, and promoting the organisation's commitment to equality and customer service.

About you

The ideal candidate will work cooperatively with others, demonstrating strong teamwork and effective communication skills. They should be confident in assisting managers, staff, and the public, and be proactive in responding to customer needs.

The candidate must have good oral, written, and IT communication skills, and be able to handle queries with tact and diplomacy. They should take responsibility for their decisions, work professionally with service users and colleagues, and strive to maximize customer satisfaction. Experience in an office environment, including arranging meetings, taking minutes, and using software packages like Word, Excel, and PowerPoint, is essential.

The candidate should understand GDPR and confidentiality and be willing to work on a rota basis to ensure service coverage.
